Automation

Automate repetitive tasks across multiple jobs and save hours every week

Learn how to use automations in Foco to manage recurring tasks from multiple jobs or projects effortlessly. Set it once and forget about manual entries.

Juggling multiple jobs, clients, or projects means repeating the same tasks over and over: invoices on the 1st, reports every Monday, reviews each month. Setting them up manually every time wastes time and increases the risk of forgetting them. Foco lets you automate these recurring tasks so they create themselves, with the exact details you need, without leaving the app.

How to set up recurring tasks in Foco step by step

  • Open a new task or edit an existing one and tap on 'Recurrence'.
  • Choose the frequency: daily, weekly (with specific days), monthly, or yearly.
  • If weekly, select the days of the week it should repeat (e.g., Monday and Thursday).
  • Set the start date and, if needed, an end date for the recurrence to stop.
  • Save the task. When you mark it as done, Foco will automatically create the next occurrence with the same fields: title, duration, priority, tags, assignees, and notes.

Details that copy automatically (and why it matters)

  • Priority: If a recurring task is urgent, all its repetitions will be too, without you having to specify it each time.
  • Duration: Ideal for blocking time in your calendar (e.g., 30 minutes to review metrics every Friday).
  • Tags and assignees: Useful if you work with the same team or client on repeated tasks.
  • Attached notes: If you include instructions or files, they’ll be copied to each repetition.

Automate without typing: voice capture and Burst

Dictating recurring tasks is faster than typing them. With Foco’s voice capture, say something like 'Review sales report every Monday at 10 AM, urgent, 45 minutes,' and the app will automatically detect the recurrence, priority, duration, and time. On the Plus plan, the Burst feature lets you dictate multiple tasks in a row, and Foco will separate them in real time, creating each one with its recurrence and details. Example: 'Invoice client X on the 1st of every month, 30 minutes; send reminder to client Y on Wednesdays, 15 minutes.'

Why Foco wins for multiple jobs compared to typical alternatives

Note-taking apps, spreadsheets, or generic task managers aren’t designed to automate tasks across multiple jobs. Common issues:

  • You have to manually duplicate recurring tasks in each project or list, with no guarantee that details (priority, duration, tags) will copy consistently.
  • No synchronization between jobs: if you change a recurring task in one project, you must update it manually in the others.
  • Voice capture is usually basic, without automatic detection of recurrences or priorities.
  • Views like calendar or kanban don’t show tasks from all your jobs at once, forcing you to switch between tabs.

Foco solves this with separate but unified work containers: each recurring task lives in its own work (with its color and context), but you can see them all together in Panorama mode or filter by a single work in Focus mode. Automations work the same across all jobs, and the views (list, kanban, calendar) adapt to what you need at any moment.

Real-world examples of time-saving automations

  • Freelancer with multiple clients: 'Send invoice to client A on the 5th of every month, high priority, 20 minutes.'
  • Small team: 'Follow-up meeting with team X every Tuesday and Thursday at 11 AM, 1 hour, tag #teamX.'
  • Self-employed with personal tasks: 'Pay rent on the 1st of every month, urgent, 15 minutes, tag #home.'
  • Project manager: 'Review progress of project Y every Friday, 30 minutes, assignee @Juan.'
