Step-by-step guide: Design checklists in Foco to automate recurring client tasks

Step-by-step guide to designing custom checklists in Foco to automate weekly reviews, standard deliveries, and repetitive processes across multiple clients.

Managing multiple clients or projects at once means repeating the same tasks over and over: weekly reviews, standard deliveries, process follow-ups, or quality checks. Doing this manually is time-consuming and increases the risk of missing steps. A checklist system for recurring tasks helps standardize these processes, reduce errors, and free up time for what truly matters. In this guide, we’ll explain how to design custom checklists in Foco to automate these repetitive tasks, step by step.

1. Identify the recurring tasks that need a checklist

Before creating a checklist in Foco, list the processes that repeat in your work. For example:

  • Weekly progress review for a client (e.g., send report, update database, schedule follow-up meeting).
  • Standard project delivery (e.g., upload files to the cloud, notify the client, archive backups).
  • Internal process tracking (e.g., monthly invoicing, inventory updates, metric reviews).
  • Preparation for recurring meetings (e.g., gather data, send agenda, confirm attendance).

Group these tasks by type of work or client. In Foco, each work (or client) is an independent container with its own color, allowing you to quickly see which checklist belongs to which one.

2. Create a work in Foco for each recurring checklist

  • Open Foco and tap the '+' button to add a new work.
  • Assign a descriptive name (e.g., 'Weekly Review Client X' or 'Standard Delivery Project Y').
  • Choose a color for the work. This color will apply to all tasks within that container, helping you identify them quickly in Panorama mode (where you see all tasks from all works at once).
  • Save the work. Now you have a dedicated space for that recurring checklist.

3. Add the checklist tasks with key details

Within the work you just created, add each step of the checklist as an individual task. Use Foco’s fields to automate and customize:

  • Title: Describe the step clearly (e.g., 'Send weekly report to client').
  • Due date: Assign the date it needs to be completed. If it’s recurring, use the 'Recurrence' option so Foco automatically generates the next occurrence when you mark it as done (daily, weekly with specific days, monthly, or yearly).
  • Duration: Estimate how long each step will take to better plan your day.
  • Priority: Mark critical steps as 'Important' or 'Urgent'.
  • Tags: Use colored tags to categorize tasks (e.g., '#review', '#delivery', '#invoicing').
  • Notes: Attach detailed instructions, links, or relevant files (text, voice, photo, or transcribed audio).

To save time, use the voice capture feature: tap the microphone, dictate the checklist steps, and Foco will transcribe the text. If you have the AI (Plus plan), it will automatically detect dates, times, priorities, and recurrences, creating the tasks already filled in with the attached audio.

4. Automate checklist creation with Ráfaga (AI)

If you have the Plus plan, use the Ráfaga feature to create complete checklists at once. Here’s how it works:

  • Open Foco and tap the microphone button to activate Ráfaga.
  • Say all the checklist steps out loud in one go (e.g., 'Send weekly report to client, update database, schedule follow-up meeting for Friday at 10 AM, priority important').
  • Foco will separate what you say into individual tasks in real time. When you finish, it will show you the list of detected tasks so you can review, edit, or discard them before saving them all at once.
  • Confirm, and Foco will create the tasks with the details you mentioned (dates, priorities, etc.).

On the Free plan, Ráfaga has a limit of 5 uses per month, and dictation lasts up to 2 minutes. With Plus, it’s unlimited.

5. Review and adjust the checklist in Foco mode

Once the checklist is created, enter Foco mode to focus only on that work:

  • Tap the work name on the main screen. Foco will filter the board and show only the tasks from that checklist, hiding the rest.
  • Switch views as needed: List (groups tasks by date), Kanban (customizable columns), or Calendar (to see deadlines on a timeline).
  • Review the order of tasks and adjust dates or priorities if necessary. On desktop, drag and drop tasks to reorganize them; on mobile, use the Kanban tabs.

6. Compare with the typical alternative: Why Foco wins for recurring tasks

Most people use generic note-taking apps, spreadsheets, or standalone lists to manage recurring checklists. Here’s why Foco avoids their limitations:

  • Task isolation: In a note-taking app, all checklists mix in one space. In Foco, each work (and its checklist) is an independent container with its own color, letting you see only what’s relevant in Foco mode or everything at once in Panorama mode.
  • Recurrence automation: In a spreadsheet, you must manually copy and paste tasks every week. In Foco, marking a recurring task as done automatically creates the next occurrence with the same details.
  • Flexible visualization: A paper list or generic app doesn’t let you switch between views (List, Kanban, Calendar) based on what you need. Foco does, with one click.
  • Quick capture: Dictating a checklist in a note-taking app requires manually transcribing dates or priorities. In Foco, voice capture (and Ráfaga with AI) does it for you, even detecting details like recurrences or reminders.
  • Collaboration: If you work with a team, sharing a spreadsheet or generic app means sharing the entire document. In Foco, you invite only the necessary people to a specific work and assign tasks without giving access to the rest of your organization.

Foco is designed specifically for those managing multiple works at once, so its features (work containers, colors, Panorama and Foco modes, automatic recurrences) solve problems other tools don’t address.

7. Keep your checklists updated and useful

  • Review your checklists periodically to add, remove, or adjust steps as your processes evolve.
  • Use Calendar view to see recurring tasks on a timeline and spot overlaps or tight deadlines.
  • If a checklist is no longer useful, archive or delete it to keep your space organized.

With these steps, you’ll have a checklist system for recurring tasks that saves time, reduces errors, and lets you scale your management without losing control. Start with a simple checklist and add more as you identify repetitive processes in your work.
