How to create a project delivery checklist for clients in a task app without missing any details
Learn how to design a project delivery checklist for clients in Foco, step by step, and avoid oversights in key transitions with reminders, deadlines, and collaboration.
A project delivery checklist for clients in a task app helps you standardize every handoff, from final reviews to invoicing. In Foco, you can create this checklist as a standalone workspace (or within an existing project) and break it down into tasks with deadlines, assignees, and automatic reminders. Each step is logged with the client’s color, visible in the Overview or isolated in Focus mode when you need to concentrate on that delivery alone.
Step 1: Create a dedicated workspace for the delivery checklist
- Open Foco and tap the '+' button in the top-right corner to add a new workspace.
- Give it a clear name, like 'Delivery Checklist - Client X', and choose a color to identify it (e.g., the same one you use for that client in other projects).
- If the checklist is part of a larger project, you can create it within that existing workspace: enter the project, tap '+', and select 'New task'. Then, convert it into a section or subtask if you need to group related steps.
Step 2: Break down the checklist into tasks with deadlines and priorities
- For each delivery step (e.g., 'Review final design', 'Send compressed files', 'Confirm receipt with client'), create a task within the workspace. Use the 'Title' field to describe the step clearly.
- Assign a due date to each task based on the delivery timeline. If there are dependencies (e.g., 'Send invoice' can only be done after 'Confirm receipt'), use the Kanban view to sort them into columns like 'To Do', 'In Review', and 'Done'.
- Mark critical tasks as 'Important' or 'Urgent' so they stand out in the Overview with a red or yellow icon. This way, even if you’re managing multiple clients, you won’t overlook tight deadlines.
Step 3: Add reminders and assignees to avoid oversights
- For each task, set a reminder (e.g., '30 minutes before' or '1 day before') so Foco notifies you on mobile and desktop. If you work with a team, assign tasks to specific members: tap 'Assignees', enter their email, and send the invitation. They’ll only see and edit tasks assigned to them.
- For steps requiring client confirmation (e.g., 'Approval signature'), use the 'Notes' field to attach a document or a link to an external form. If the client doesn’t use Foco, generate a public link to share just that task: tap the three dots on the task and select 'Share'.
Step 4: Automate recurring tasks and capture meeting details
- If the checklist includes steps that repeat for every delivery (e.g., 'Send satisfaction survey'), set up recurrence: edit the task, select 'Repeat', and choose 'Monthly' or 'After completion'. When you mark it as done, Foco will automatically create the next occurrence.
- During client handoff meetings, activate 'Listen Mode' to record the conversation and transcribe it. Foco will save the audio and transcription as a note attached to the relevant task (e.g., 'Delivery Meeting - Client X'). This way, if a question arises later, you can review what was agreed without relying on memory.
Step 5: Review the checklist in Overview or Focus mode before closing
- Before finalizing the delivery, enter Overview mode to see all checklist tasks alongside those from other clients. Filter by color to quickly locate pending items for that project.
- If you prefer to focus only on that delivery, tap the workspace to enter Focus mode: the board will show only the checklist tasks, with their deadlines and priorities. Use the List view to group them by 'Today', 'This Week', or 'Done'.
- Mark each task as 'Done' as you complete it. If any remain pending, drag them to 'Later' or adjust their due date to avoid blocking the handoff.
Why Foco outperforms generic apps or scattered lists
If you use a notes app or spreadsheet to manage delivery checklists, details can easily get lost among other projects, and assigning clear responsibilities becomes difficult. Foco is built for those juggling multiple jobs: each checklist is an independent workspace with its own color, visible in the Overview alongside tasks from other clients but isolatable in Focus mode when you need concentration. Features like automatic reminders, task assignment to collaborators, or meeting capture with transcription ensure you don’t rely on memory or external tools to avoid oversights.
