How to organize a task routine for shift workers with multiple jobs (no overlaps)

You need a system that displays your shifts, pending tasks, and deadlines in one place, without losing track of what belongs to each job. This guide explains how to use Foco to sync your jobs, avoid overlaps, and stay in control, even when schedules change every week.

Step 1: Create a container for each job (and one for personal tasks)

  • Open Foco and tap the + button to add a new job. Give it a clear name (e.g., 'Hospital X - Morning Shift', 'Night Security - Company Y') and choose a distinctive color for each one. This way, when you see your tasks, you’ll instantly know which job they belong to.
  • Repeat the process for each job and add an extra container called 'Personal' (or 'Home'). Here, you’ll include tasks like medical appointments, errands, or family reminders, which you also need to manage alongside your shifts.
  • If you work at the same place with different schedules (e.g., morning and night shifts at the same hospital), create a container for each shift. This lets you filter tasks specific to each schedule without mixing responsibilities.

Step 2: Add your shifts as recurring tasks (with reminders)

  • For each shift, create a task in its corresponding container. Use the 'Recurrence' field to mark it as weekly and select the exact days (e.g., Monday, Wednesday, and Friday for a morning shift).
  • In the 'Duration' field, enter how many hours the shift lasts (e.g., 480 minutes for 8 hours). This will help you visualize time blocks in the calendar.
  • Enable a reminder 30 minutes before each shift (in the 'Reminder' field) to prepare without rushing. If your schedule changes monthly, edit the recurrence when you receive the new timetable.
  • If you have fixed breaks during your shift (e.g., 30 minutes for lunch), add them as separate tasks with duration and reminder. This prevents you from forgetting or extending them unintentionally.

Step 3: Sync your external calendars to see shifts and tasks together

  • Go to Settings > Calendar Sync and connect your Google Calendar or Outlook. Foco will automatically import events from these calendars (such as shifts assigned by your employer) and display them in the Calendar view alongside your tasks.
  • External events will appear in gray and cannot be edited from Foco, but they serve as a reference for planning tasks without overlaps. For example, if you see a night shift in your calendar, you’ll know not to schedule a personal task for that time.
  • If your company uses a shared calendar (e.g., a team Google Calendar), sync it to see shift changes in real time. This helps avoid conflicts when you’re assigned a new schedule.

Step 4: Use Panorama mode to spot overlaps instantly

  • Open Panorama mode (Foco’s main screen) to see all your tasks from all jobs at once, each with its container’s color. Here, you’ll quickly identify if you have overlapping shifts or if a personal task conflicts with a work schedule.
  • If you see a conflict, drag the task to another day or adjust its duration. In the Calendar view, overlaps are highlighted in red so you can fix them before they happen.
  • Use the List view to group tasks by date (Today, This Week, Later). This helps you prioritize urgent tasks without losing sight of deadlines for each job.

Step 5: Capture tasks on the go with voice (to avoid forgetting between shifts)

  • Between shifts or during breaks, use voice capture to add tasks without typing. Say something like: 'Task for Hospital X: submit patient report at 3:00 PM, important, reminder 1 hour before.' Foco will transcribe the text and automatically fill in the date, priority, and reminder.
  • If you have multiple pending tasks, activate Ráfaga (in the Plus plan) and dictate them in a row. Foco will split them into individual tasks and show them for review before saving. Ideal for when you finish a shift and remember everything you need to do in the next one.
