Managing multiple clients, projects, or life areas (like work and personal tasks) in the same app can lead to confusion if they aren’t clearly separated. Mixing tasks, deadlines, or sensitive information from different sources complicates focus and increases the risk of errors. Step 1: Create a workspace for each client or area
- Open Foco and tap the '+' button in the sidebar or at the top of the screen.
- Select 'New Workspace' and enter a descriptive name (e.g., 'Client A - Web Development', 'Project X - Marketing', 'Personal Tasks').
- Assign a unique color to each workspace. This color will appear on all its tasks, both in Panorama mode (where you see everything at once) and in Focus mode (where you filter only that workspace).
- Repeat the process for each client, project, or area you need to separate. There’s no limit to the number of workspaces in any plan.
Step 2: Add tasks and maintain privacy
- Within a workspace, tap 'New Task' and fill in the fields: title, due date (optional), priority, tags, or notes. Each task belongs only to the workspace where it’s created.
- Use tags to categorize tasks within the same workspace (e.g., 'Invoicing', 'Meetings', 'Design') without mixing information between clients. Tags are unlimited and can also have colors.
- If a task is recurring (e.g., weekly reports), enable recurrence, and Foco will automatically generate the next occurrence when completed, always within the same workspace.
- Attach voice notes, photos, or text to tasks. These notes will only be visible within the corresponding workspace, even if you share a task via a public link (the link doesn’t grant access to the rest of Foco).
Step 3: Switch between workspaces without losing context
- In Panorama mode, you’ll see all tasks from all workspaces in a single list, each with its workspace color. This lets you prioritize without switching screens, but without mixing data.
- To focus on a single client or project, tap its name in the sidebar or at the top. Foco will filter the dashboard and show only the tasks for that workspace (Focus mode).
- Switch between List, Kanban, or Calendar views within a workspace without affecting others. For example, use Kanban for a client with visual workflows and List for another with tight deadlines.
Step 4: Collaborate without exposing other clients' data
- Invite a collaborator to a specific workspace via their email. They’ll only see the tasks, notes, and conversations for that workspace, not the rest of your spaces.
- Assign tasks to workspace members. If a client or teammate needs access to a specific task, generate a public link for that task. The link won’t reveal the workspace name or other tasks.
- Use Listen mode to record client meetings and transcribe them. The recording and transcription are saved as a note within the corresponding workspace, accessible only to members of that space.
