Running an event means coordinating dozens of pieces that depend on each other, and each has its own deadline. You cannot open registration before confirming the venue, or design the agenda without knowing which speakers are coming. When it all lives in your head or in scattered notes, something always gets forgotten until it is too late, and those slips cost dearly on the day itself. This board places each task in the phase where it actually happens, from the first idea to the closing thank-you.

It works for a talk of thirty people or a multi-day conference, because the logic is the same: you move through phases and do not jump to the next until the previous one is under control. Split the cards between whoever sets up the space, whoever runs promotion and whoever handles suppliers, and each person will clearly see their part without stepping on the others.

Five phases from announcement to close

The board arranges the whole event into five columns you move through left to right:

Planning

The foundations. Everything you decide here shapes the rest, so do not rush this phase.

  • Set the date and goal of the event
  • Define the budget with room for surprises
  • Book the venue before you announce anything

Preparation

With the base in place, it is time to lock the content and the people who make it happen.

  • Confirm speakers and lock their topics
  • Hire suppliers for sound, catering and the rest
  • Design the agenda hour by hour

Promotion

You have an event, now people need to come. This phase runs in parallel until the last day.

  • Open registration with a clear form
  • Announce on social with enough lead time
  • Send reminders to those who already signed up

The day

Everything you prepared gets tested. The better the day before, the calmer the day itself.

  • Set up the space and test the tech
  • Welcome attendees and manage the entrance
  • Coordinate the program and keep to time

Wrap up

The event is not over when the last attendee leaves. What you do now makes the next one better.

  • Thank attendees and speakers
  • Collect feedback while it is fresh
  • Review results against the original goal

How it works in Foco
